What this is

Migration and buildout of the firm's internal Knowledge Center in Litify — the canonical destination for HR policies, staff training material, stage hubs, and cross-referenced operational docs. All entries are live in the Salesforce/Litify Knowledge object, with a truth-source hierarchy and orphan-guide protection.

The project ran from April 3–10, 2026 and moved 14 major policy/reference batches into Knowledge articles, plus structural cleanup of orphan sections and cross-reference refreshes.

Key decisions

  • Truth Source cleanup first. Before loading any new policies, the April 3 Truth Source Cleanup pass identified conflicting versions across Notion, Google Docs, and old Knowledge articles. Each topic got a single designated truth source before the migration continued.
  • Orphan section guides rehomed, not deleted. Pages that were valuable but living in the wrong section got moved to the correct topic hierarchy, with backlinks in the old location.
  • Cross-reference refresh — after adding each policy, the linked articles were updated to point to the new canonical version.
  • Blank topics (articles with only a title and no body) were triaged: fill-from-source, delete, or mark for research.

Patterns that worked

  • One policy per session. Avoided mixing policy writes into other Litify work. Keeps rollback clean.
  • Template: short summary + full policy + effective date + source doc link. Same structure across all policies so staff learn the format.
  • Tag with topic + stage + department. Multi-select tagging made stage hubs filter correctly.
